Telemetry
One anonymous aggregate a day, or nothing at all.
An unlicensed instance sends one anonymous aggregate a day. Any active licence, including a trial, switches it off. There is no toggle, because the licence already answers the question.
When it is on and when it is off
- An unlicensed instance sends one report per day. That is the arrangement in exchange for a full application that is free and has no seat limit.
- Any active licence switches it off. Including a trial, and including the grace period after a paid licence expires. It stops the moment the key is installed.
- A soft-locked instance sends the aggregate again, because it is once more an unlicensed instance.
- There is no setting. Nothing to turn on, nothing to turn off, and no choice to record, because the licence state already answers the question.
The panel listing these fields is also visible inside the application, under Settings, Administration, TeamHub, so an administrator can read it without leaving the instance.
What the report contains
- Instance identifier.
- TeamHub and Nextcloud versions.
- Team, user and member counts.
- Which modules are enabled.
- Decision counts by status.
- Bare hostnames of custom links.
All of it is counts, versions and names of enabled features. It describes the shape of an installation, not the people in it or the work they do.
What it never contains
- User IDs.
- Names or e-mail addresses.
- Message bodies.
- File contents.
- Full URLs.
Where a custom link is counted, only the bare hostname travels, never the path or the query string. Nothing a person wrote, uploaded or is named in ever leaves the instance.
Who receives it and for how long
- Recipient. Doek Works, The Netherlands.
- Purpose. Knowing which versions are in use, which features are worth maintaining, and roughly what scale the application has to work at. It keeps the roadmap honest.
- Retention. Three months.
- Identification. Installations are distinguished by a technical identifier generated for this purpose, not by any account, person or domain.
The authority on all of this is the Privacy Notice, which is a published document rather than a summary. Questions go to privacy@doekworks.eu.
If you would rather send nothing at all and are not ready to licence, the honest answer is that a trial switches it off for 30 days and a licence switches it off permanently. There is no third option, and pretending otherwise would be the kind of claim this page exists to avoid.
